This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our website, communicate with us, or use our Services.

This Policy is intended to comply with applicable privacy laws in the jurisdictions where we operate, including the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA) and other applicable U.S. state privacy laws; the Personal Information Protection and Electronic Documents Act (PIPEDA) in Canada; and the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018 in the United Kingdom.

By using our website or Services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use our Services.

  • Communications: Emails, messages, call recordings (where permitted and with notice), meeting notes, and support requests.
  • Job applicant information: Resumes, work history, and references if you apply to work with us.

2.2 Information Collected Automatically

  • Cookies and similar technologies: We use cookies and similar technologies to operate our website, remember preferences, and analyze traffic. You can manage cookies through your browser settings; UK visitors are presented with a consent banner for non-essential cookies.

2.3 Information from Third Parties

We may receive information from business partners, referral sources, publicly available sources, and service providers (such as scheduling, CRM, or analytics platforms) that we use to deliver the Services.

3. How We Use Personal Information

  • To provide, operate, and improve our virtual assistance and management Services.
  • To create and manage client accounts, process payments, and send invoices.
  • To communicate with you, respond to inquiries, and provide customer support.
  • To perform tasks you delegate to us, in accordance with your instructions.
  • To send service updates and, with your consent where required, marketing communications. You may opt out at any time.
  • To maintain security, prevent fraud, and enforce our agreements.
  • To comply with legal obligations and respond to lawful requests.

We do not use personal information for automated decision-making that produces legal or similarly significant effects, and we do not knowingly collect personal information from anyone under 18.

4. Legal Bases for Processing (UK GDPR)

Where UK GDPR applies, we process personal data on the following legal bases: performance of a contract (delivering the Services you have engaged us for); legitimate interests (operating and improving our business, securing our systems, and communicating with business contacts); consent (marketing communications and non-essential cookies); and legal obligation (tax, accounting, and regulatory requirements). Where we rely on consent, you may withdraw it at any time without affecting prior processing.

5. How We Share Personal Information

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising as defined under the CCPA/CPRA. We share personal information only as follows:

  • Service providers: Vendors that support our operations, such as cloud hosting, payment processing, communication tools, and analytics, bound by contractual confidentiality and data protection obligations.
  • Our team: Contracted virtual assistants and staff who need access to perform the Services, subject to confidentiality agreements.
  • Legal requirements: Where required by law, court order, or governmental authority, or to protect our rights, safety, or property.
  • Business transfers: In connection with a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards.
  • With your direction or consent: With third parties when you direct us to share information as part of the Services.

6. International Data Transfers

We operate across the United States, Canada, and the United Kingdom, and your information may be transferred to and processed in countries other than your own. Where personal data is transferred out of the UK, we rely on appropriate safeguards such as the UK International Data Transfer Agreement (IDTA), the UK Addendum to the EU Standard Contractual Clauses, or adequacy regulations. For transfers from Canada, we ensure a comparable level of protection through contractual means consistent with PIPEDA.

7. Data Retention

We retain personal information only as long as necessary for the purposes described in this Policy, including providing the Services, complying with legal, tax, and accounting obligations, and resolving disputes. Client service information is retained for the duration of the engagement and deleted or returned within a reasonable period after termination, unless retention is required by law. When information is no longer needed, we securely delete or anonymize it.

8. Security

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold, including encryption in transit, access controls, and confidentiality agreements with staff and contractors. No method of transmission or storage is completely secure; if a breach affecting your personal information occurs, we will notify you and applicable regulators as required by law.

9. Your Privacy Rights

9.1 United States (California and Other States)

Depending on your state of residence, you may have the right to know what personal information we collect and how it is used; access and receive a copy of your personal information; correct inaccurate information; delete your personal information; and opt out of the sale or sharing of personal information (we do not sell or share personal information). We will not discriminate against you for exercising these rights. Authorized agents may submit requests on your behalf with proof of authorization.

9.2 Canada (PIPEDA)

You have the right to access personal information we hold about you, challenge its accuracy and request corrections, withdraw consent to processing (subject to legal or contractual restrictions), and be informed of how your information is used and disclosed. Complaints may be directed to us or to the Office of the Privacy Commissioner of Canada (OPC).

9.3 United Kingdom (UK GDPR)

You have the right of access, rectification, erasure, restriction of processing, data portability, and objection to processing (including direct marketing), and the right to withdraw consent. You may lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk, though we would appreciate the opportunity to address your concerns first.

9.4 Exercising Your Rights

To exercise any of these rights, contact us using the details in Section 12. We will verify your identity before responding and will reply within the timeframe required by applicable law (generally 30 to 45 days). There is no fee for reasonable requests.

10. Our Role When Handling Client Data

When we perform virtual assistance services involving personal information belonging to our clients’ customers, employees, or contacts, we act as a service provider (CCPA) or processor (UK GDPR) on the client’s behalf and process that information only under the client’s instructions and our service agreement. Individuals whose data we process in this capacity should direct privacy requests to the relevant client, and we will assist the client in responding as required.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last Updated” date at the top indicates when it was most recently revised. Material changes will be communicated by email or a prominent notice on our website before they take effect.
