Airbnb Refunded Your Guest Without Your Approval? Here’s How We Got $2,000+ Back
Your guest checks in, stays a few nights, then reports a problem. A day later Airbnb cancels the rest of the booking and refunds the guest. Nobody asked you.
The money is gone, and so are the nights you could have sold to someone else. The good news: in many cases you can win a large part of it back. Here is why it happens, how to protect yourself, and a real case where the host recovered more than $2,000 overall: $1,400 from the dispute plus $950 from rebooking the freed nights.
- Yes, Airbnb can refund your guest without your approval under its Rebooking and Refund Policy (AirCover for guests). The refund comes out of your payout.
- Guests must report the issue within 72 hours of discovering it.
- You can dispute it. Airbnb weighs the strength of evidence, so send one calm, organized case with a timeline and timestamped proof.
- Our case: $1,800 refunded, $1,400 recovered, plus $950 from rebooking the freed nights.
1Can Airbnb refund a guest without the host’s approval?
Yes. Under AirCover for guests, Airbnb can rebook a guest somewhere else or give a full or partial refund when it decides a “Reservation Issue” happened and the host couldn’t fix it. It doesn’t need your permission, and the money comes from you: the host gets no payout, or a payout reduced by the amount refunded.
Issues that qualify fall into three groups:
The host cancels before check-in, or the guest can’t get into the place.
The place isn’t clean, or has a safety or health hazard.
Fewer bedrooms than listed, a missing major amenity (like no heating in winter), or undisclosed occupants.
Guests must report the issue within 72 hours of discovering it. Small annoyances, like a broken toaster, don’t qualify.
The catch for hosts: Airbnb decides the refund based on how serious the issue is, how much of the stay it affected, and the strength of evidence provided. If the guest sends photos and a complaint and you send nothing, the guest’s version wins by default.

2How to prevent unfair Airbnb refunds
This is the single most important habit. When a guest complains, your documentation is your defense. Without it, you have nothing to dispute with.
- Describe your listing accurately and in detailRoom sizes, bed types, stairs, noise, parking, and what the “kitchen” actually includes. An honest listing leaves nothing to call “not as described”.
- Take timestamped photos and video before every check-inEvery room, every appliance working, heating and AC on, hot water running, a Wi-Fi speed test on screen.
- Keep your cleaner’s checklist with photosProof the place was clean and complete when the guest arrived.
- Keep maintenance recordsInvoices and dates for repairs, servicing and replacements.
- Keep all guest communication inside the Airbnb appIf a guest reports something, reply fast, offer a fix, and document the fix with photos and times.
Don’t move the conversation to WhatsApp or text. Airbnb support can only see what happened in the app. Anything outside it is easy to dismiss.
3Case study: Airbnb refunded $1,800. We got $1,400 back
What happened: Because the cancellation came so late, the host lost the refund and the chance to rebook those nights in advance.
What we did: The host came to StayCierge. We reviewed the full case and pulled together every piece of evidence: timestamped photos taken over time, property photos, messages, and everything else that supported the host’s side. Then we re-opened the dispute with Airbnb support as a clear timeline backed by proof.
The result: Airbnb paid the host $1,400 of the $1,800.
The property did have some real issues, which usually means the host gets nothing. Instead the host ended up with $1,400 recovered + $950 rebooked = $2,350, against an $1,800 refund.
4How to dispute an Airbnb refund, step by step
Most hosts lose these cases because they write to support angry, send evidence in pieces, or argue about the guest instead of the facts. Disputes aren’t about emotion. They’re about structure.
- Contact support and ask for a reviewReference the reservation code and ask for the refund decision and your payout to be reviewed.
- Lead with a timelineCheck-in, when the issue was reported, how fast you responded, and when it was fixed.
- Send all your evidence at onceLabeled and timestamped, so the case can be judged in one read.
- Refer to the policyShow why the issue was minor, fixed quickly, or not what the guest claimed.
- Stay calm and factualSupport agents respond to clear facts, not frustration.
- If the answer is no, ask againRequest a second review. A better-structured submission often gets a different result.
Hi, I’m requesting a review of the refund issued on reservation [code]. The guest reported [issue] on [date, time]. I replied within [X minutes] and [fixed it / offered a fix] on [date, time].
Attached, labeled and timestamped: 1) pre check-in photos and video from [date], 2) the cleaner’s checklist, 3) maintenance records, 4) our full message thread.
Under the Rebooking and Refund Policy, this issue was [minor / resolved within X hours / not as described by the guest]. Please review the refund and my payout. Thank you.

Airbnb refund FAQs
Can Airbnb refund a guest without the host’s approval?
Yes. Under AirCover for guests (Airbnb’s Rebooking and Refund Policy), Airbnb can rebook a guest or give a full or partial refund if it decides a serious issue happened and the host could not fix it. It does not need the host’s permission.
Who pays when Airbnb refunds a guest?
The host. Airbnb’s policy says the host receives no payout, or a payout reduced by the amount refunded to the guest.
How long does a guest have to report a problem to Airbnb?
Guests must report the issue within 72 hours of discovering it. Minor inconveniences, like a broken toaster, do not qualify.
Can I dispute a refund Airbnb already gave my guest?
Yes. Contact Airbnb support, ask for the refund to be reviewed, and send one organized case: a timeline, timestamped photos and video, in-app messages and maintenance records. Airbnb weighs the strength of the evidence. In our case study the host recovered $1,400 of an $1,800 refund.
What if my property really did have an issue?
You can still recover part of the money. Airbnb considers how severe the issue was, how much of the stay it affected and how fast you responded. Showing you replied quickly and fixed or offered to fix the problem is what moves the result.
How do I stop Airbnb from refunding guests unfairly?
Describe the listing accurately, take timestamped photos and video before every check-in, keep cleaner checklists and maintenance records, and keep all guest communication inside the Airbnb app.
